Start with the property, not a nationwide surname search

An online title-deed search should begin with the state and county or city where the land is recorded. Collect the property address, parcel identifier, current and former owner names, and any instrument number already shown on a closing paper. The official recorder or register is the source for the recorded deed. An assessor’s parcel page can provide a useful reference, but its ownership display is not the deed itself.

New York City’s ACRIS illustrates why coverage comes first: its online images cover Manhattan, Queens, the Bronx and Brooklyn from 1966 onward. It is not a national service or a complete five-borough deed archive. A blank response for the wrong location or period cannot answer whether a deed was recorded elsewhere. The examples here describe local tools without changing the location of your search.

Turn an ACRIS result into a retrievable instrument

From the official ACRIS page, choose the property-record search. Search by party name, borough-block-lot (BBL), document type, document ID, City Register file number, or reel and page. If you have only an address, use Find Addresses and Parcels to establish the BBL first. Open the IMG image for a candidate; record its document identifier and recording date.

Read the deed’s parties and property description together. A shared surname, a nearby street number, or a transaction containing several filings is not enough. A document ID identifies one instrument, whereas a transaction number can join several instruments, such as a deed and mortgage. Save every page needed to understand the property and transaction, rather than only the index row.

Use Maricopa’s two search routes for different jobs

In Maricopa County, Arizona, the Recorder’s standard Recorded Document Search supports a person’s first and last name, recording dates, and a Business Name search for a trust or company. An address-only starting point can go through the Assessor: locate the parcel and use the Deed Number under Owner Information to return to the recorded instrument.

The separate full-text research instructions allow names, legal descriptions or addresses, but currently describe data from the last two years. Quotation marks narrow a phrase; OR permits alternatives; a minus sign excludes a term. Do not treat this recent full-text window as the entire historical index. An older deed needs the standard document search or assistance with its recording reference.

Choose an ordinary image or an official certified copy

Maricopa lets you inspect an unofficial image through Pages. Buying/Purchasing Options offers official copies at $1 per page, with $3 per document added for certification. Edit the order to select emailed download or physical mail and the certification option. For example, a four-page certified document is $7 before any other displayed delivery charges. These are copy prices, not recording fees.

ACRIS’s image workflow also lets you select certification and submit a name and address for an order. Certified copies can be mailed or collected from a City Register office. Check the order’s quoted charge and the receiving organization’s format requirements before purchasing; a home-printed image should not be represented as a clerk-certified copy.

Resolve an old, wrong or unreadable document

For ACRIS records predating January 1, 1966, use the Land Records Research Library at the Queens City Register location. For a wrong retrieved document or BBL/address mismatch, contact the ACRIS Help Desk at 212-487-6300 or [email protected]. Keep the search identifier and explain the exact discrepancy. For another jurisdiction, ask its recording office about offline volumes, legibility and certified-copy processing; there is no single nationwide turnaround.

Understand what finding a deed does and does not resolve

A deed establishes the content of a particular recorded instrument. Maricopa expressly cautions that a recorder-website search does not guarantee freedom from liens. A later deed, lien, release or competing interest may change the practical title question. For a purchase, financing or ownership dispute, have the professional handling the matter define the title examination needed. For a records-only task, retain the exact instrument and state the jurisdiction and date limits of your search.
